We collect the following categories of information:
- Account Information: Name, work email, company name, job title, and login credentials.
- Usage Information: How you interact with our platform, including logins, features used, pages visited, and session duration.
- Conversational Data: Your interactions with our AI assistants and any feedback you provide.
- Operational Data: Manufacturing, inventory, and purchasing data you upload to or process through our platform.
- Analytics Data: We use Google Analytics to collect anonymized usage data (pages viewed, traffic sources, device type). We use Leadinfo to identify the companies visiting our website based on IP address. Leadinfo does not identify individual visitors by name. Both services use cookies or similar technologies.
2. How We Use Your Data
We use your data to:
- Provide, operate, and secure our services.
- Communicate with you about updates, support, and services.
- Improve the Aquarium platform and AI assistant experience using anonymized conversational interactions and aggregated feedback.
- Identify prospective business relationships through company-level website visitor analytics.
- Meet legal and regulatory requirements.
Important: We do not use your operational, manufacturing, inventory, or purchasing data to train our AI models. We do not send customer data to OpenAI, Anthropic, Google, or other third-party AI services for processing or training.
3. Data Protection and Security
We take the following measures to protect your data:
- Customer data is logically isolated using row-level security so your information is protected from other customers.
- Data is encrypted in transit (TLS 1.2+) and at rest (AES-256).
- Access to customer data is restricted to authorized personnel under role-based access controls. Our architecture is designed so that support and administrative functions operate without access to your production data.
- We run our own LLM in our own AWS environment. AI processing of customer data occurs within that environment, and customer data is not sent to OpenAI, Anthropic, Google, or other third-party AI services.
4. Sharing Your Data
We do not sell your personal data. We may share data only in the following circumstances:
- Service Providers: With trusted service providers acting on our behalf under written contracts that require them to protect your data (e.g., cloud hosting, payment processing, analytics).
- Legal Requirements: If required by law, regulation, subpoena, or legal process.
- Business Transfers: In connection with a merger, acquisition, or sale of assets, in which case you will be notified.
5. Cookies and Tracking Technologies
Our website uses cookies and similar technologies for the following purposes:
- Essential Cookies: Required for site functionality and security.
- Analytics Cookies: Google Analytics collects anonymized data about how visitors use our site. You can opt out at tools.google.com/dlpage/gaoptout.
- Business Analytics: Leadinfo identifies the company associated with your IP address for business development purposes. Leadinfo does not identify you personally.
You can control cookies through your browser settings. Disabling certain cookies may affect site functionality.
6. Data Retention
We retain your data as follows:
- Active Accounts: We retain your data for as long as your account is active and as needed to provide our services.
- After Termination: Following account cancellation or termination of service, we retain your data for 90 days to allow for reactivation or data export requests. After 90 days, your data is permanently deleted from our production systems.
- Backups: Residual copies in encrypted backups are overwritten according to our standard backup rotation schedule.
- Legal Obligations: We may retain certain data longer if required by law or to resolve disputes.
7. Your Rights
Depending on your location, you may have the following rights regarding your personal data:
- Access the personal data we hold about you.
- Request correction of inaccurate data.
- Request deletion of your data.
- Restrict or object to certain processing.
- Data portability (receive your data in a structured, machine-readable format).
- Opt out of marketing communications at any time.
California Residents (CCPA/CPRA): You have the right to know what personal information we collect, request deletion, and opt out of the sale of personal information. We do not sell personal information.
EU/EEA Residents (GDPR): Our lawful basis for processing your personal data is: (a) performance of a contract, for data necessary to provide our services; (b) legitimate interest, for analytics and business development; and (c) consent, for marketing communications. You may withdraw consent at any time.

8. Payment Information
We use a trusted third-party payment processor to handle all credit and debit card transactions. We do not store your full payment card details. We receive and retain only a secure token from the processor, which allows us to manage billing (for example, subscription renewals). This token cannot be used to reconstruct your card number.
9. International Data Transfers
Our services are operated from the United States. If you are located outside the United States, your data may be transferred to and processed in the United States. When we transfer data internationally, we ensure appropriate safeguards are in place, including Standard Contractual Clauses for transfers from the EU/EEA.
10. Children's Privacy
Our services are not directed at children under 16. We do not knowingly collect personal data from children. If we learn that we have collected data from a child under 16, we will delete it promptly.
11. Updates to This Notice
We may update this Privacy Notice periodically. We will notify you of material changes by email or through a notice on our website. Your continued use of our services after such notice constitutes acceptance of the updated Privacy Notice.
